Job Description
Mō te tūranga | About the role
Permanent | Full time, 40 hours per week. Tuesday to Saturday.
Reporting to the Manager, Volunteer Services this role is one of two Coordinators supporting the Volunteer Services team.
The two Volunteer Service Coordinators work collaboratively to provide continuity of service and shared knowledge across the operating week, reducing reliance on any one individual and ensuring effective handover and coverage. This position works Tuesday to Saturday, with some flexibility required within that framework.
This role coordinates scheduling and service delivery for this large and diverse public-facing volunteer workforce, working closely with the Manager Volunteer Services and the Commercial and Visitor Services teams. The Coordinators support the recruitment, onboarding, training and ongoing engagement of Guides and Information Desk volunteers and provide operational support to volunteers as issues arise. They also support departments across the Museum with the recruitment and onboarding of between 80 and 100 volunteers and interns working in other areas of the organisation.
Key responsibilities include:
Coordinating rosters and daily service delivery for more than 160 Guides and Information Desk volunteers.
Building strong volunteer relationships and supporting engagement, development and wellbeing.
Coordinating volunteer recruitment, onboarding, induction and training.
Resolving day-to-day issues to maintain volunteer services across the Museum’s seven-day operation.
Coordinating tour bookings and volunteer coverage with Museum teams.
Maintaining accurate, current and accessible volunteer systems and records.
Reviewing reports and trends to improve Volunteer Services systems and processes.
Supporting volunteer and intern recruitment and onboarding across the Museum.

Confidence using databases, scheduling systems and digital communication tools.
Clear, respectful written and verbal communication skills.
Sound judgement, discretion and confidence working independently and escalating issues appropriately.
A collaborative, service-focused approach with volunteers, visitors and colleagues.
