Job Description
Mō te tūranga | About the role
Permanent | 0.6 FTE (part-time) Reporting to the Head of Communications & Governance
This is a pivotal governance support role ensuring the smooth and effective operation of the Museum’s Trust Board, subcommittees and organisational planning processes.
You will work closely with the Governance and Stakeholder Relations Manager to coordinate governance documentation, support compliance requirements, and strengthen planning and risk processes across the organisation.
Key responsibilities include:
Preparing agendas, compiling board papers and taking accurate minutes for Trust Board subcommittees (Development, Audit & Risk, Executive and Planning)
Tracking board resolutions and action items to ensure timely follow-up
Coordinating and monitoring Official Information requests within statutory timeframes
Maintaining policy and contract registers, including tracking renewals and updates
Supporting organisational planning cycles, milestones and reporting timelines
Assisting with preparation of corporate documents including the Annual Plan and Annual Report
Supporting risk management processes, including maintaining the Risk Register
Coordinating documentation for audit and Statement of Service Performance reporting
This role is ideal for someone who enjoys structure, documentation, governance processes and working with senior leaders and Board members.
Strong understanding of governance frameworks, compliance and risk processes
Experience maintaining policy and contract databases
Ability to manage planning schedules and competing deadlines
Exceptional written communication skills and attention to detail
Confidence working with senior leaders and Trustees
Highly organised with strong priority-setting capability
Analytical mindset with sound judgement and discretion
Experience coordinating Official Information requests (is advantageous
You will be diplomatic, proactive, resilient and comfortable managing sensitive information with integrity.
